# Email templates, email brand and design system

> Create and reuse email templates, save an email as a template, reuse universal content, and set your email brand: default fonts and colors, email logo, social links and the design system.

Three settings pages control how your emails look. [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates) holds your saved email designs and your universal content. [Settings → Email → Email brand](https://ai.textyess.com/organization-settings/email-brand) holds the styles, the logo and the social links that new emails start with. [Settings → Workspace → Design system](https://ai.textyess.com/design-system) measures your brand colors and fonts. To open these pages, click **Settings** at the bottom of the sidebar. The Email pages appear when email is turned on for your store.

## Create an email template

To create a reusable email design:

1. Open [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates).
2. Click **New template**.
3. Design the email in the editor. To rename it, click **Untitled template** in the top bar and type the name.
4. Click **Done**.

The template saves automatically while you edit. In the top bar, click **Preview** to see it as an inbox shows it, on desktop or mobile. Click **Send Test** to get it in your own inbox. A test needs email sending to be set up. You can also open the same gallery from [Campaigns → Emails](https://ai.textyess.com/campaigns/email): click **View templates**. To make a template from an email you already built, see "Save an email as a template".

## Edit, rename, duplicate or delete an email template

In [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates), click a template preview to edit it. Each template card also has an actions menu (three dots):

* **Edit** opens the template in the email editor.
* **Rename** changes the name.
* **Duplicate** makes a copy with "(Copy)" after the name.
* **Delete** removes the template. You cannot undo this.

Each card shows the last change, for example "2h ago". When a campaign starts from a template, it gets its own copy. Editing or deleting the template later does not change that campaign. The gallery in **View templates** on the Emails page has a search field.

## Use an email template in a campaign

To start an email campaign from a template:

1. Open [Campaigns → Emails](https://ai.textyess.com/campaigns/email).
2. Click **Create**, then click **Pick a template**.
3. In **Choose a template**, click the template.

TextYess creates a draft campaign with a copy of the template. Change the copy as you need. The template stays the same. If **Choose a template** says **No saved templates yet**, create a template first. For the rest of the campaign steps, see [Email campaigns](/email/email-campaigns).

## Save an email as a template

You can save an email campaign as a template, also after it was sent:

1. Open the campaign in [Campaigns → Emails](https://ai.textyess.com/campaigns/email) and click **Edit email** or **View email**.
2. In the top bar, open the **More actions** menu (three dots) and click **Save as template**. For a sent campaign, **Save as template** is a button in the top bar.
3. Type the **Template name**, for example "Welcome Email".
4. Click **Save**.

The message **Saved to Email Templates** shows. The template is a copy of the email at this moment. You find it in [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates). You can reuse it in other campaigns and automations.

## Import a Klaviyo or Brevo email as a template

To bring an email that you made in Klaviyo or Brevo into TextYess:

1. In [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates), click **New template**.
2. In the top bar, open the **More actions** menu (three dots) and click **Import HTML**.
3. Select the **Source**: **Klaviyo** or **Brevo**.
4. Paste the HTML, or click **Choose file…** to pick an .html or .rtf file.
5. Click **Import**, then click **Done**.

TextYess changes the HTML into blocks that you can edit, and copies the images to TextYess. It removes logic blocks and variables that it cannot map. If there are issues, click **View details** to see them. If your brand has no social links yet, the social links of the import become your brand links.

## Reuse blocks in many emails with universal content

Universal content is a block or a section that you save once and use in many emails, for example a header with your logo.

1. In the email editor, select a block or a section.
2. In the block toolbar, click **Save as universal**.
3. Type a **Name** and click **Save**.

To add it to another email, open the **Universal** tab in the editor sidebar and click the item. The item stays linked. Select it and click **Edit across all instances**, change it, then click **Apply everywhere**. Every email that uses it changes. **Unlink and edit independently** keeps a normal copy in this email only. A campaign uses the latest version of its universal content when it sends.

You rename and delete universal content in [Settings → Email → Email Templates](https://ai.textyess.com/organization-settings/email-templates), under **Universal content**. After a delete, emails keep the content as normal blocks.

## Set the default fonts, colors and buttons of your emails

Your email brand styles are the default look of every new email.

1. Open [Settings → Email → Email brand](https://ai.textyess.com/organization-settings/email-brand). The page title is **Email Brand Defaults**.
2. In **Brand styles**, set the **Background**, **Layout**, **Border**, **Typography**, **Headings**, **Colors** and **Buttons**.
3. Look at the **Preview** card. It shows a sample email with your styles.
4. Click **Save changes**.

New campaigns, new templates and new automation emails start with these styles. Emails and templates that already exist do not change. To change one of them, edit it in the **Styles** tab of the email editor. To go back to the TextYess styles, click **Reset to defaults**, then **Save changes**.

## Set the email logo

The **Email logo** card is on [Settings → Email → Email brand](https://ai.textyess.com/organization-settings/email-brand). It is the logo at the top of your AI emails. TextYess finds it on your storefront.

* To use another logo, click **Upload a logo** or **Replace**. Pick a PNG, JPG, WebP or SVG file, up to 5 MB. Wide logos work best.
* To let TextYess find the logo on your storefront again, click **Find it again**.

If TextYess finds no logo, the card says **We could not find a logo on your storefront yet**. Upload one. This logo is separate from your WhatsApp profile picture, which stays square. In emails that you design in the editor, add your logo with an **Image** block.

## Set the social links for your emails

The **Social links** card on [Settings → Email → Email brand](https://ai.textyess.com/organization-settings/email-brand) holds your brand's social profiles.

1. Click **Add network**.
2. Select the **Network** and paste the profile link.
3. Click **Save changes**.

You can add Instagram, Facebook, TikTok, YouTube, WhatsApp, Pinterest, X and LinkedIn, one link each. Every new **Social links** block in an email starts with these links. Emails that you already built keep the links they have. In the email editor, you can also click **Save as brand links** in the settings of a **Social links** block.

## Apply your brand colors and fonts to your emails

The **Brand from your vault** card is on [Settings → Email → Email brand](https://ai.textyess.com/organization-settings/email-brand). It shows the colors, fonts and logo that TextYess measured from your storefront and from emails you already send. It also shows a grade and how many values were measured. A value marked **inferred** is a guess, and TextYess never applies it.

1. Click **Apply to email defaults**. The measured values go into your **Brand styles**.
2. To measure more values, paste the full HTML of an email you already send in **Import an email you already send**.
3. Click **Measure this email**, then click **Apply to email defaults** again.

New emails then start with the measured colors and fonts. An email logo that you uploaded is not replaced. If the card says your brand vault has not been built yet, the values show after TextYess builds it.

## Use the email design system page

The **Design system** page shows your brand's colors, fonts and rules for email. To open it, click **Settings**, then **Design system** under **Workspace**, or open [Design system](https://ai.textyess.com/design-system).

1. Click **Generate design system**. It takes about two minutes, and the page refreshes by itself.
2. To add measured values, click **Import an email**. Paste the HTML of an email you already send, then click **Measure this email**.
3. To use the result in new emails, click **Apply to email defaults**.

The page shows a **Score**, how many values were **Measured**, the **Sources** and the date when you **Applied** it. The tabs are **Email preview**, **Colors**, **Typography**, **Tokens**, **Design guide**, **Color roles**, **Typography guide**, **Components**, **Assets** and **References**. Click **Regenerate** to build it again.

## Why the email design system page is empty

The [Design system](https://ai.textyess.com/design-system) page can show one of these messages:

* **No brand vault yet**: TextYess builds a brand vault for your store first. The design system comes from it. After the vault is built, you can generate the design system.
* **No design system yet**: click **Generate design system**.
* **Generating your design system**: wait about two minutes. The page refreshes by itself.
* **Couldn't load the design system**: click **Try again**.

The **Apply to email defaults** button stays off while the design system generates, and when nothing was measured yet.

## How email templates, brand styles and the design system work together

These parts work in this order:

* The **Design system** measures your brand. **Apply to email defaults** copies the measured colors and fonts into your **Brand styles**.
* The **Brand styles** on the **Email Brand Defaults** page set the look of every new email and template.
* **Email Templates** hold saved designs. A campaign that starts from a template gets a copy.
* **Universal content** stays linked. A change reaches every email that uses it.

A change to brand styles never restyles an email or a template that already exists. To change an existing email, open it in the email editor and use the **Styles** tab.
